Clients Visits (1.0 Beta)

Clients Visits measures newly identified customer visits and the sales generated by those customers. It compares their spending with total cash sales for the selected stores and can summarize the result by store, day, week, month, year or hour.

What the report measures

IMS identifies new-client activity from cash-sale records that do not have a linked customer master record but do contain a usable telephone number. The report looks at the first qualifying transaction date for that telephone number at the store and checks whether it falls inside the selected reporting period.

ImportantThis is a 1.0 Beta report. It is an analytical indicator based on POS telephone data; it is not the same thing as the registered customer or Star Rewards database.

Run the report

  1. Select one or more Stores, or leave All selected.
  2. Select Date From and To.
  3. Choose None, Day, Week, Month, Year, or Hour under Group By.
  4. Optionally select Store under Group By when multiple stores are selected.
  5. Click Get Report.
  6. Review NewClients, SpentAmount, TotalSales and Percent, plus the totals at the bottom.

Example with no period grouping: new-client spending is compared with total cash sales for the selected store and date.

Using IMS multi-selection fields

Some IMS criteria fields open a compact multi-selection list instead of a normal drop-down. You can select several values without holding Ctrl.

  1. Click the criteria field to open the selection list.
  2. Click an item to select or deselect it. Continue clicking until the required combination is selected.
  3. Click Close, double-click an item, or click outside the list to apply the selection.
Field displayMeaning
AllAll available values are included. If no individual item remains selected, IMS automatically returns the field to All.
One nameExactly one value is selected.
Multi SelectedTwo or more values are selected.
No Ctrl key requiredThe IMS list uses simple multi-selection: click each required item to toggle it on or off.

Criteria

CriteriaWhat it does
StoreSelects one or more stores. The field opens the standard IMS multi-selection list.
AllSelects all stores available to the logged-in user.
Include inactive storesLoads inactive stores into the selection list. This option is visible only to users with access to all departments.
Date From / ToDefines the reporting period.
Hours From / ToThe Beta screen includes an hour-range selector; see the Beta note below before relying on it as a filter.

Store selection

If the user has access to only one store, IMS selects it automatically and disables the All and multi-store controls. With multiple available stores, click the Store field to choose the required locations.

Group By

OptionResult
NoneOne consolidated result for the selected stores and date range.
DayGroups by transaction date.
WeekGroups by calendar year and week.
MonthGroups by month and year.
YearGroups by year.
HourGroups by transaction hour.
StoreAdds a Store column when multiple stores are selected.
Beta note — Hours From/ToIn the supplied Clients Visits 1.0 Beta source, the Hours From/To controls enable the hour selectors, but the current report query does not apply that selected range as a filter. Group By → Hour does work as an hourly breakdown.

Report columns

ColumnMeaning
Day / Week / Month / Year / HourDisplayed when the corresponding period grouping is selected.
StoreDisplayed when Store grouping is selected and more than one store is included.
NewClientsDistinct qualifying customer telephone numbers whose first matching visit falls within the selected period.
SpentAmountNet cash-sales amount generated by the identified new clients. Cash returns reduce this amount.
TotalSalesTotal net cash sales for the same selected store(s) and period.
PercentSpentAmount ÷ TotalSales.

How IMS calculates the result

The report uses Cash Sales and Cash Returns only: IMS transaction codes 51 and 53. Code 53 returns are treated as negative amounts in both new-client spending and total store sales.

MeasureIMS calculation
New ClientsCount of distinct qualifying telephone numbers whose first matching store transaction falls in the selected period.
Spent AmountQualifying clients' cash sales less cash returns.
Total SalesAll selected-store cash sales less cash returns for the same period.
PercentSpent Amount ÷ Total Sales.

What counts as a new client?

The Beta source requires the normal customer ID to be absent or zero and requires a telephone number that is neither blank nor the placeholder 000. The first qualifying transaction is evaluated by store and telephone number.

Why this mattersA person can appear in Clients Visits without being a registered IMS customer or Star Rewards member. The report is using POS telephone data to estimate newly identified visitors.

Summary totals

The bottom panel shows New Clients, Spent Amt, Total Sales and the overall percentage. The overall percentage is calculated from the totals, not by averaging the row percentages.

Export and printing

Clients Visits 1.0 Beta does not currently provide the standard IMS Export To Excel, Send By Email, Save As, or print toolbar. The result is viewed directly in the grid.

Permissions

Clients Visits uses the same Reports-menu permission as Clients History. If the menu item is not visible, the logged-in user's IMS policy does not grant access to client-history reporting.
